Count equipment without losing relationships
Give each accessible unit a room or asset reference. Record its type and safely visible model information, then identify the connected system where known. Several indoor units may depend on shared equipment or a building-controlled water system; they are not automatically independent cooling systems.
Include relevant fresh-air equipment and control interfaces as separate assets where they form part of the requested scope. Leave an unknown model or connection marked unknown. An invented entry makes a quotation appear precise while concealing the very survey task that remains necessary.
Add the information that changes service access
For each asset, note the service opening, restrictions, usual occupancy and the party responsible for permits or shutdowns. A unit count without access information cannot explain why two properties with similar numbers need different visit arrangements.
Safely available label photos can help the technical team, but there is no reason to publish customer serial numbers, private unit details or access instructions. Keep the working register with the authorised parties and use public case material only within its documented boundary.
Why installation milestones are not asset counts
At Victory Heights, DENAIR records eight units pressure tested and seven indoor units connected to power and controls, with fresh-air installation reported complete. Those are different stages and equipment references. They should not be combined into an assumption that eight independent systems were fully commissioned.
The JVT FCU photograph used here illustrates one accessible equipment record. It does not describe every asset in a new property's AMC. Use it as a reminder to attach a real identity and access point to each register entry.
Use the register to compare written scopes
Ask each proposal to identify the assets included, relevant component checks and exclusions, together with the assumptions that still require a site survey. Keep planned maintenance separate from parts, repairs and inaccessible work. The service term should not be treated as a promise that every existing fault is included.
After a visit, update the completed work and findings against the same asset references. Preserve earlier records rather than replacing them with a new generic list. This lets an owner see what coverage was delivered and which unit or interface needs a separate decision.
